Subject: CUSTODIAL & OTHER STAFFING FORMULAS

Query:  What formula do you use for allocating custodial staff?

 

 

Rocke Whitney, Director of Facility Support, is providing NEISD's formula for custodial staffing.  Hope this helps!
 
"The standard formula that I use in determining staffing is as follows:  High Schools staff at 22,000 square feet per FTE, Middle Schools are 21,000 square feet per FTE, and Elementary Schools are 19,000 square feet per FTE.  The minimum for Middle Schools is 8 while the minimum for Elementary Schools is 4.Staffing also depends on whether or not the custodial staff will be working in the kitchen or cafeteria only.  If custodial staff is not needed in the kitchens then generally we deduct one from the FTE formula.
 
Considerations have to be made for FTE vs. equipment.  High Schools and Middle Schools have more equipment for use, thus they are responsible for more square footage.  Head Custodians are working supervisors at Elementary and Middle Schools, while at the High School level the Head Custodian is supervisor only."

Cheryl Pleasant of Central UH says- Wanted to share...the APPA, an association for higher education facilities officers, published a book titled "Custodial Staffing Guidelines for Educational Facilities." I have attached an excerpt that pertains to this subject matter for informational and comparison purposes only. It's a bit detailed, but it presents another interesting approach based on the level of service you want to provide.  Click on the blue link above for the excerpt.

 

3.  Daniel, I use the staffing levels below except for custodial and grounds. Custodial, we staff at 20,000 sq ft per custodian and we maintain this ratio. On grounds, we use 1 to 25 acres. However, in Maintenance and Grounds we do not meet the ratios. R.C. Herrin

We try to maintain around 22,000 SF/custodian.
 
Maintenance varies by trade:
  General Maintenance:  1:500,000 SF
  HVAC:  1:450,000 SF
  Plumber:  1:390,000 SF
  Electrician:  1:380,000 SF
  Carpenter/Locksmith:  1:200,000 SF
  Painter:  1:200,000 SF
 
Grounds:  1:34 acres (routine grounds maintenance) and 1:5 acres (intense maintenance - athletic fields)
 
We don't have any standard for supervisory positions - will be driven more by budget than standards at this point.
